
Office Manager Job Description
Role Summary:
The Office Manager plays a pivotal role in supporting various administrative duties and providing support to all departments. This person must be exceedingly well-organized, flexible and able to uphold the mission and values of Resilience1220 in every aspect of the work.
Key Responsibilities
Administrative & Office Operations

Manage day-to-day office operations, including supplies, equipment, mail, and workspace organization.

Serve as the first point of contact for general inquiries via phone, email, and in-person visits.

Maintain organized digital filing systems.

Assist with scheduling, meeting coordination, and preparing materials for staff, board, and volunteer meetings.

Assist with basic finance tasks such as expense tracking, invoice processing, and receipts. Assist with grant invoices and grant reporting

Other tasks as required
Program Support
-
Onboard new therapists including salesforce training, google suite set up, and overview of policies and procedures

Obtain and updating therapist forms, contracts, licenses, addresses

Offboarding therapists and staff in system
-
Help coordinate logistics for training, events, and community outreach activities.

Maintain vendor files and support grant reporting with documentation as needed.
Communications, Community Engagement & Donor Support
● Assist with email newsletters, website updates, and social media scheduling (if desired).
● Assist with fundraising events and execution
● Assist with volunteer management
● Maintain donor records in CRM) and assist with gift acknowledgements.
Qualifications

Previous experience in office administration, nonprofit operations, or related role preferred.

Strong organizational skills with excellent attention to detail.

Proficient with Google Workspace and/or Microsoft Office Suite.

Familiarity with CRM platforms

Ability to manage multiple tasks and maintain confidentiality.

Strong written and verbal communication skills.

Work Schedule & Compensation

Hours: 20 hours per week in office, flexible schedule

Compensation: $25 per hour
